A step-by-step walkthrough for enrolling a contact in a multi-channel playbook and knowing what to do when it runs.

This guide is for agents setting up their first plan inside Yapii. If you haven't verified your sender identity yet, start there - it's covered in the pre-flight checklist below.

What an action plan is

An action plan is a sequenced playbook - a series of calls, emails, and SMS messages spread across days or weeks that Yapii executes automatically once you enroll a contact. Think of it as a campaign that treats each contact as an audience of one.

Every step in the plan is drafted by Yapii IQ based on that contact's score and top signal. You review and approve before anything goes out. Nothing is automated without your sign-off.

Before you start: two things to confirm

Before enrolling your first contact, confirm two things in settings:

  • Your sender identity is verified. Email deliverability depends on domain authentication (SPF, DKIM). Yapii walks you through this in the Settings → Sending section. It takes about five minutes and dramatically reduces the chance your messages land in spam.
  • SMS opt-in is confirmed for any contact you'll text. Yapii will warn you if a contact hasn't opted in before you enroll them in a plan with SMS steps. Don't skip this - see SMS compliance for real estate agents for the full picture.

Step 1 - Choose a plan template

Navigate to Action Plans → Templates. You'll see several pre-built options organized by intent:

  • Warm seller (14-day). For contacts with scores above 70. Moves fast - call on day 1, email on day 3, SMS check-in on day 7.
  • Long-term nurture (90-day). For contacts in the 40-70 range. Lighter touch - one email every two weeks, a call mid-sequence.
  • Past client anniversary. Timed to the close date. One touchpoint per quarter for as long as they're in the database.
  • Just listed / Just sold alert. Triggered by listing activity in their neighborhood. Time-sensitive - the first step goes out the same day the trigger fires.

Start with the template that matches where your contact is right now. You can customize any step before you enroll.

Step 2 - Enroll the contact

From the contact's profile, click Enroll in plan. Select the template you chose. The system will:

  • Draft every step in the sequence using the contact's data.
  • Flag any steps it can't execute - for example, an SMS step if the contact has no opt-in on file.
  • Show you a preview of the full sequence before you confirm.

Review the drafts. Edit anything that feels generic or off-tone. Then click Activate. The first step will go out on its scheduled day.

Tip

The most common edit agents make is to the subject line of the first email. IQ drafts a subject that's intentionally neutral. Something more personal - referencing the street or neighborhood - consistently outperforms the default by 15–20% open rate. Spend 20 seconds here.

Step 3 - Monitor without micromanaging

Once a plan is active, you'll see it in the contact's timeline. Each completed step shows delivery status, open rate for emails, and reply detection. If a contact replies to any step, the plan pauses automatically and flags the conversation for your attention.

Check the Active Plans dashboard weekly, not daily. The plan is designed to run without hand-holding. Your job at this stage is to respond when a contact engages - not to watch every step process.

What comes next

When a plan completes without a response, the contact returns to the scoring queue. If their score has held or risen, they'll resurface in your daily call list within a few days. If it's dropped, they move to background nurture automatically.

The best action plan is the one you actually run. Don't let perfect customization be the enemy of enrollment. Get the contact in a plan today. You can refine the sequence over time as you see what resonates with your specific database.
